Scope
Fox Ballroom Dance Studio LLC operates Ballroom Booking websites, mobile applications, and related services. Ballroom Booking provides scheduling, client portal, package, payment, communication, and studio-management tools for participating dance studios.
A participating studio may have its own privacy practices. When a studio enters or manages information about clients, the studio generally decides why that information is used and Ballroom Booking processes it to provide the service.
Information We Collect
- Account and contact information, including name, email, phone, protected login credentials, account identifiers, studio relationship, and communication preferences.
- Student profile and studio service information, including lesson preferences, package or credit balances, attendance history, instructor relationships, notes, uploaded profile photos, and files.
- Scheduling and transaction information, including lessons, classes, events, rentals, orders, invoices, receipts, refunds, gift certificates, payment status, and cancellation details.
- Payment metadata from Stripe or another disclosed processor, such as transaction amount, status, processor identifiers, card brand, expiration details, or last digits. Ballroom Booking does not intentionally store complete card numbers or security codes.
- Authentication-provider information from Google, Apple, or another supported provider, such as name, email, provider account identifier, and authentication result.
- Device, browser, app, usage, support, feedback, security, crash, performance, and log data, subject to a final production SDK and network audit before store submission.
How We Use Information
- Create, authenticate, secure, and support accounts.
- Connect users to the correct participating studio and tenant-scoped client account.
- Display schedules, bookings, packages, balances, payments, receipts, events, and profile information.
- Process payments for physical-world studio services through Stripe or another disclosed processor.
- Provide upload, feedback, support, communication, notification, fraud-prevention, security, troubleshooting, and product-maintenance functions.
- Meet accounting, tax, regulatory, legal, dispute-resolution, and agreement-enforcement obligations.
How We Disclose Information
Information associated with a studio relationship may be available to authorized studio owners, staff, instructors, or service providers according to their roles and settings.
We may use providers for hosting, database, storage, authentication, payments, email or messaging, support, analytics, monitoring, security, and app distribution. Current or anticipated providers include Vercel, Neon or another PostgreSQL provider, Amazon Web Services, Stripe, Google, Apple, and any providers identified in the final production audit.
We may disclose information when reasonably necessary for legal process, security, fraud prevention, rights protection, business transactions, or with your direction or consent.
Cookies, Local Storage, and Similar Technologies
The websites and applications may use cookies, local storage, secure tokens, and similar technologies to maintain sessions, remember settings, prevent fraud, and provide core functions. Nonessential analytics or advertising technologies must not be enabled without updating this policy and providing any required consent mechanism.
Retention and Deletion
- Active account and profile information is retained while the account is active, followed by deletion processing generally within 30 days of a verified request once the final deletion workflow is approved.
- Encrypted backups should age out through normal backup rotation, generally within 90 days, once the final backup policy is confirmed.
- Authentication and security logs may be retained for up to 12 months unless needed longer for an incident.
- Payment, tax, invoice, and accounting records may be retained for the period required by law or reasonably needed for disputes, commonly up to seven years.
- Support and feedback records may be retained up to two years unless a longer period is needed for an active issue or legal obligation.
- Participating studios may retain service, attendance, transaction, waiver, or client-history records under their own legal or operational obligations.
Your Choices and Rights
- Update available profile information in the app.
- Change notification permissions in the app or device settings.
- Request account deletion through the app when available or through the public Account Deletion page.

Security, Children, and International Processing
We use administrative, technical, and organizational safeguards designed to protect personal information, including encrypted transport, access controls, tenant scoping, protected authentication, provider security controls, logging, backups, and testing.
The services are not directed to children under 13 for independent account creation. Participating studios may maintain records for minor students as part of providing dance services and are responsible for required guardian authorization.
The services and providers may process information in the United States and other locations. Where required, we use contractual or other recognized safeguards for cross-border processing.
